Management of Duplicate Student Records

In January 2010, we added a feature to identify duplicate student records and allow a district user to merge duplicates into one record. Here are some answers to questions you may have:

How are duplicates identified?

The SIS import process detects duplicates by finding any two records where:

- All of the following values match: First name, Last name and Date of Birth, or

- SSNs match, plus one of the following values match: First name, Last name or Date of Birth

How do duplicate student records occur?

Duplicates can be caused by students leaving, then re-enrolling with a new student ID, or as a result of migration to a new SIS (for example, from SASIxp to PowerSchool).

Do I have to fix these duplicates?

You do not have to fix the duplicates. Chances are that you have had many duplicates for a long time, but were unaware of them. We added this new feature at the request of some districts. The benefit to merging duplicates is that their separate test scores, transcripts, absence/discipline history will be merged into one primary record.

New report options to add column or filter for "Teacher when tested" for 4 core subjects on test scores.

Added ability to display absence and discipline details and charts on student profile page. This is configurable based on security role.

Test administrations can be now be locked for editing. This is useful for manually entered tests to prevent scores from being edited after they have been entered. You will find this setting under District > Test Score Imports > Administration links.

Academic plans: Option to print parent copy only.

District name displayed at bottom of each page.

RTI only: Added ability to edit or delete comments.

Version 7 ready for 2009-2010

This update is focused on improving the overall user experience so you will see many visual changes. Our goal was to keep unchanged all of the functionality that worked well, while improving areas that may cause confusion. Although we have introduced an updated look, most of the navigation and screens are similar to the prior version and should be familiar to you. With this update we are continuing our mission to provide you with the information you need to improve student performance.

Here are some of the highlights:

	PowerSchool Ready For districts moving from SASI to PowerSchool a migration wizard is under the SysAdmin tab that will guide you through the move when your district has made the change.
	Students At-A-Glance We wanted to make it easy to quickly get common information about each student in a list. Now when viewing a class or student group you can simply move your mouse over a student, and related assessment, grades and special programs (if available*) are shown.
	Printing Everywhere We are frequently asked how information can be printed. There is now a print link at the top of every page to make printing easier.
	Search Instantly You no longer have to go to the classroom page to perform searches. Instead, at the top of every page you'll find a search box for quick searching. You can even search for classes and, if security allows for it, users!
	Improved Readability We recognized that it was sometimes difficult to read some text content. To address this we've increased font sizes, placed icons next to many links, and changed the color scheme.
	Navigation Improvements We found that sometimes the tabs at the top of each screen were overlooked. We've moved them to the left side of the screen so they are more obvious. Also, the "breadcrumb" at the top of each page is clearer and easier to see. Common reports are no longer hidden on a separate tab but instead appear on the right side of the screen so they are more obvious.
	Student Photos If you have student photos in your SIS they will now be shown on student pages and in Instance Search results.
	More Web-Browsers A good experience includes being able to use the web browser that is most convenient to you. Besides just Internet Explorer, you can now use FireFox, Google Chrome, or Apple Safari.
	* Response To Intervention (RTI) An add-on module for Response to Intervention is now available for an additional per-student fee. This includes intervention tracking, progress monitoring, and school and district-level reports.

Class Score Sheet & MAP Norms

Class Score Sheet

The Class Score Sheet is a new report option available when viewing test scores for a course roster. This option lets you choose a test and administration, then displays a gradebook view of all scores in that test adminsitration for all students in that class.

MAP 2008 Norms Pending

NWEA has recently updated the 2008 norms in their reporting system. These norms affect the MAP target growth and growth index referenced in the Class Achievement Profile report. The new norms have just been provided to customers after a delay. We will be updating the Class Achievement Profile report to use the new norms as soon as possible. Edit prior year academic plans

TestView now allows the editing of prior year academic plans. This ability can be granted to selected security roles and turned on or off as needed. It can be useful to allow summer school teachers to edit End of Summer School Consequence in July, after TestView has recognized the new year rollover. By default, the permission is turned off for all security roles. The permission is listed in the security role task tree under Students - Academic Plan - Edit Historical.

Re-Import Outstanding Exceptions

TestView will now review and attempt to resolve the outstanding exceptions from one or more selected test imports. This can be helpful for students whose tests were imported after they left the district, but who may have since returned. These records would have resulted in "Student not found" exceptions. See the "Re-attempt Import" link on the Test Imports page (District tab).

Delete User Accounts

You now have the ability to delete user accounts for users who have left the district. Under the SYSADMIN tab, see View All Users. There is a delete button (X) to the left of each user account. Note: The Delete User Account feature is not intended to prevent a user from accessing TestView (if that is your goal, then set their role to "No Access"). Use this only to remove users who are not longer employed by the school district.
